What you can do with Teams

Invite teammates by name, email, and role (Admin or Member). We automatically send the invitation email.
Search and select a teammate in the left panel to view their profile card: role, invite/accept dates, assigned client count, last sign-in, and inviter.
Assign patients to team members (from your client assignment flow) so each teammate sees only the clients they’re responsible for.
Remove a teammate or exit a team with built-in safeguards to protect client continuity and ownership.

Roles & permissions

Admins can add clients to the client depot; delete, edit, and assign any client in the depot; and view/add/remove/edit team members.
Members can add clients to the client depot; delete, edit, and reassign only clients they’ve been assigned.
All roles can only view analytics/dashboards for clients they are currently assigned.

Invite a team member

Open Your Team and click Add Team Member.
Enter full name (first and last), email, and select a role (Admin or Member).
Submit to send the invite. We’ll email them immediately; the request expires after 72 hours.
If an invite already exists, you’ll see a notice. If your plan doesn’t include Teams or you’ve reached your member cap, you’ll be prompted to upgrade or increase capacity.

Track invite status

Pending member approval — Invite sent; awaiting the teammate’s acceptance.
Rejected — The invite was declined. If this seems wrong, contact support.
For accepted teammates, you’ll see accepted date, last sign-in, role, and client count on their profile card.

Find & view teammates

Use the search field to filter by name. Click a teammate to load their profile card on the right.
The profile card summarizes: Role, Date Invited, Date Accepted, Clients Assigned, Last Sign-In, Email, “Invited By,” and any pending invite banner if applicable.

Assign patients to team members

From your client assignment flow, assign a patient to a specific team member. That teammate then gains ownership for day-to-day work and analytics visibility for that client.
Reassign clients before removing a teammate to prevent gaps in coverage.

Remove a teammate or exit the team

Remove From Team prompts a confirmation explaining that their clients will be left without a provider. Reassign those clients first.
Exit Team is available to leave a team you belong to. If you’re the originating administrator, you cannot exit; remove other members instead.
If removal or exit is denied, you’ll see a clear message explaining why (e.g., originating admin restriction).

Common messages & limits

“Invite exists” — That person already has a pending invite. Ask them to check their spam folder or contact support.
“Please upgrade your plan” — Your current plan doesn’t include Teams.
“Member cap reached” — You’ve hit your team limit. Increase your cap on your plan to invite more members.
“Invite expires in 72 hours” — If time runs out, simply resend a new invitation.
